A Microsoft 365 Copilot readiness review from TechBit Solutions checks whether your Microsoft 365 environment is in a fit state for Copilot before you buy the licenses.
It is a short piece of work with a clear output: a list of what would go wrong, what it takes to fix, and whether Copilot is worth it for your business at all.
Why Copilot needs preparation
Copilot is not a separate system with its own data. It reads what the person using it can already read, and answers from that.
That is a reasonable design and it means Copilot inherits every permissions mistake made in your organization over the last decade. If the payroll spreadsheet from 2021 is in a folder shared with everyone, Copilot will find it, and it will summarise it politely for whoever asked.
The oversharing problem
Almost every Microsoft 365 tenant we look at has more open access than the business believes. It happens gradually and for sensible reasons at the time.
- A folder shared with the whole company so one person could get to a file
- A sharing link created years ago that still works and was never withdrawn
- A former employee's OneDrive that was opened up during a handover and left that way
- A SharePoint site created for a project, inherited by a wider group, never reviewed
- Site permissions granted to an email group whose membership has since doubled
None of this is visible day to day, because people only find files they go looking for. Copilot goes looking on their behalf, and it is very good at it.
What we check
- Which files and sites are shared organization-wide, and which of those contain sensitive information
- Sharing links that are still live, including anonymous ones
- Accounts that still have access and should not, including leavers
- Whether sensitivity labeling is in place and whether anyone applies it
- Whether multi-factor authentication covers every account, since Copilot widens what a stolen login is worth
- Where duplicated and stale documents would give Copilot outdated answers
- License fit: who would genuinely use it and who is being included out of fairness
- Whether your current Microsoft 365 plan supports Copilot at all
What you end up with
- A written report in plain language, not a tool export
- A ranked list of what to fix, with the ones that matter marked clearly
- An estimate of the work involved in each
- A recommendation on whether to proceed, delay, or run a small pilot first
- A license count based on who would actually use it
Who should have one
Any business that is seriously considering Copilot, and particularly any business handling patient records, client files, financial data or anything covered by a contract that says who may see it.
If you are in healthcare, legal or financial services, treat this as required rather than advisable. Copilot does not create a new breach risk so much as make an existing one much easier to trip over.

What is Microsoft 365 Copilot?
An assistant built into Word, Excel, Outlook, Teams and the rest of Microsoft 365. It drafts documents, summarizes a long email thread, pulls figures out of a spreadsheet, and recaps the meeting you had to miss.
Why can we not just buy the licenses and switch it on?
You can, and that is precisely how this goes wrong. Copilot answers using whatever files the person asking is already allowed to open. In most companies people can open far more than anyone realizes, and nobody finds out until Copilot cheerfully summarizes a folder it should never have seen. Far better to hear that from us than from an employee.
Is our data used to train Microsoft's models?
Microsoft states that commercial Microsoft 365 Copilot data is not used to train its foundation models. We will point you at Microsoft's current terms rather than paraphrase them. A commitment this important deserves to be read at the source, and we are happy to sit with you while you read it.
How long does the readiness work take?
A few weeks for most El Paso businesses. The assessment itself is quick. Fixing the permissions it uncovers is the part that takes real time, and it is work worth doing whether or not you ever buy a Copilot license.
What if we decide not to buy Copilot after all?
You still walk away with your file permissions tidied and a clear picture of who can reach what. More than a few businesses have told us afterwards that this turned out to be worth more than the licenses they originally called about.
Do we need Copilot at all?
Possibly not, and we will tell you so. It earns its keep where people live in documents and email. If your staff spend the day inside one line-of-business application, the return is much smaller. We would rather lose the sale than sell you something that sits unused.
