Why this page exists
Switching IT providers is a decision most business owners put off, not because they are happy but because they do not know what the change involves and they cannot afford a bad month.
So here is what actually happens. This is the process TechBit Solutions runs for a business of ten to a hundred people, and it takes about thirty days.
Week one: we find out what you have
Nothing changes for your staff this week. We are looking, documenting and getting access.
- An inventory of every machine, server, network device, phone and license
- Where the data lives, who can reach it, and whether backups are running
- Which applications the business genuinely cannot work without
- Administrator access to the systems we will be responsible for
- A short conversation with whoever people currently ask when something breaks
By the end of the week you have a written list of what you own. A surprising number of businesses have never had one.
Week two: we fix what is urgent
Every environment we take over has something wrong with it that should not wait for a roadmap. We deal with those first.
- Backups that are not running, or have never been restored from
- Accounts belonging to people who left, sometimes years ago
- Multi-factor authentication that is missing on accounts that hold everything
- Equipment out of support and carrying something critical
- Anything exposed to the internet that should not be
We tell you what we found and what we are doing about it. No surprises appear later in a report.
Week three: we take over the day to day
This is the week your staff notice. They get the number to call, and monitoring, patching and alerting move to us.
We stay deliberately close during this week. The purpose is to be more available than necessary while people are still getting used to a new provider.
Week four: you get the roadmap
We sit down with you and go through what we found, what it means, and what we recommend.
- What we fixed in the first month, and what it was costing you
- What is still wrong, ranked by what it would actually cost the business
- What each item costs to fix and roughly how long it takes
- A twelve-month plan with items placed in quarters
- A hardware replacement schedule, so nothing arrives as an emergency
You are under no obligation to do any of it on our timetable. The point is that from that day forward you know.
Keeping that roadmap current afterwards, rather than letting it go stale, is what a vCIO arrangement does.
What we need from you
- Somebody with authority to grant access, for about two hours in week one
- Half an hour with whoever currently handles IT problems
- A list of your software vendors and their support arrangements
- Ninety minutes for the roadmap session at the end
- An honest answer about what annoys you most, since that is usually the right place to start
Leaving your current provider
Check your notice period and what happens to your data and licenses on exit. Those two clauses cause nearly every problem we see in a handover.
If licenses were bought through your current provider they may not transfer, and that is worth knowing before you give notice rather than after. We will read the agreement with you if it helps.
We do not need you to give notice before we start planning. Most switches are smoother when the two overlap.

Questions we get asked
Can we switch while our current contract is still running?
Usually yes, and it is often the sensible order. We can do the discovery and the planning while you are still under contract, then take over the day you are free. Nothing about that breaches a normal agreement.
What if our current provider will not cooperate?
It happens, and it is not a blocker. We rebuild what we need to rather than waiting on documentation that is not coming. It adds work in week one and nothing after that.
Will our staff notice the change?
They will notice a new number to call. Beyond that the goal is that nothing on their desk changes during the switch, and any changes we do recommend happen afterwards, one at a time, with warning.
What does the first month cost?
The monthly rate starts when we take over support. We are clear about anything separate before it happens, and there is no discovery fee before you know whether you want to work with us.
How long until things actually get better?
The response time improves on day one, because that is just us answering the phone. The underlying problems take longer, and the roadmap at the end of the month tells you how much longer and in what order. We are not going anywhere, and we are here in El Paso as you grow, so the relationship is built for years rather than for the first ninety days.
